Responsibilities

 

 

Schedules all operating room dental procedures for Children’s Dental Health Associates from all dental offices.  Notifies patients of dental co-payments upon notification of need to schedule and receipt of co-pay requirement from insurance office.  Coordinates scheduling of dentists at facility and enters all surgeries scheduled into the applicable location in practice management software (currently Eaglesoft).

 

  • Schedules all procedures to be performed at facility or delegates effectively to fellow team mates
  • Obtains and updates all insurance information- dental and medical- to ensure accuracy of scheduling sheet
  • Obtain copies of dental and medical cards for the file and scans them into the file to ensure they are in the chart
  • Considers priorities and patient when scheduling surgical procedures including
  • Review all documents in the OR folders with the patients ensuring they understand the procedure, the type of anesthesia and the necessity of treatment, the necessity of the parent to follow the preop instructions.
  • SELL the OR- make sure the patient knows where they are being treated and that this is all we do, all day-every day
  • Continue to follow up with the patient to ensure the patient gets scheduled
  • If necessary, obtain the assistance of the patient advocate and involve the insurance company (if MA) and the local CYS if needed
  • Maintains on open line of communication with fellow staff regarding changes in the schedule and keeps track of reasons so a decrease in changes can be obtained
  • Keep track of all OR’s on a monthly basis: Name, schedule date, bill date, if not scheduled why, what follow up occurred, if cx reasons, Try to get child back on the schedule- provide all numbers to OR manager on a weekly and monthly basis
  • If patient has a medical history that needs to be reviewed by anesthesia for the surgery center, forward the medical assessment to the Medical Director to obtain a list of what is needed for the evaluation, obtain the contact information from the parents and contact the patients’ medical providers to obtain the necessary documentation
  • Follow up with the parent and the providers to obtain the information as necessary and forward to the Medical Director for approval. Once approved, follow the scheduling process as outlined.
  • If not approved candidate for the surgery center, assist the parent in providing the numbers for them to call to get a list of providers that complete hospital based dentistry for them to seek treatment elsewhere
  • If approved, provide the documentation to the center and the intake nurse along with the scheduled date of surgery
  • Maintains an open line of communication with surgery center staff (including intake nurse and scheduler and insurance verifier) regarding changes in schedule so necessary work can be completed.
  • Regulates schedule according to procedure and physician’s time
  • For new patients, ensures all demographic and insurance information into computer including scanned documents
  • Maintains contact with the parent of the child for questions, concerns, all the way up to the day of the procedure
  • Obtains the op report post procedure and ensures the same codes are completed in the clinical notes as was reported on the op report
  • Checks insurance verification for the 1st of the month for all Medicaids as well as patients who are being moved up when they are moved up
  • Assists with other miscellaneous office/clerical duties as needed

 

 

Qualifications

 

  • High school diploma or GED certificate
  • Training or courses in business office activities
  • Good typing skills
  • Good communication skills
  • Good computer skills
  • Strong ethical and moral character references
  • Surgery scheduling experience, preferred
  • Cooperative work attitude toward co-employees, management, patients, visitors, and physicians
  • Ability to promote favorable facility image with physicians, patients, insurance companies, and general public
  • Ability to make decisions and solve problems
