Children's Dental Health Associates has an immediate full-time opportunity for a Dental Office Manager!  The Dental Office Manager will plan, coordinate, and oversee the dental practice to ensure that operations at CDHA’s office run smoothly and efficiently.  The Office Manager will enthusiastically lead and manage overall operations of the dental office.  The position is accountable for achieving financial goals and attaining sustainable business results focusing specifically on revenue, profit, and practice.  This position will initially support the Plymouth Meeting and South Philadelphia office locations


Essential Job Duties and Responsibilities:


Leadership & Management

  • Make sure all office staff is coming to work ready to work: on time, ready to work, and in proper uniform
  • Maintain office schedules following policies and procedures
  • Implement CDHA office polices ensure all staff members are following all of CDHA’s office polices
  • Plan, implement, and evaluate dental care for patients based on individual, specific patient needs and according to dentist’s orders
  • Hold monthly meetings with the office. Keep a running folder of the minutes for each meeting in the office along with a sign-in sheet.  All minutes are required to be reviewed by all staff not present and sign off on by them within 24 hours of reporting to work next business day.
  • Seek involvement / actively participate in activities that promote professional growth and performance improvement
  • Remain calm and function as a team member during times of stress and crisis situations
  • Review, fix errors, and approve all designated employee’s timecards each day. Ensure all timecards are approved before the pay roll cycle
  • Interviews and hires individuals with high standards
  • Ability to objectively assess current team members and provide honest, constructive, and consistent feedback
  • Places priority on any office openings
  • Complete necessary OSHA 300, 301 and 300-A forms each year per OSHA standard 1904.29 and keep in binder locked in a cabinet or office
  • Maintain an open line of communication with all fellow employees regarding issues important to meeting the needs of patients
  • FMLA & ADA: Start paperwork & email HR once this step is completed
  • Corrective Action/Discipline with employees
  • Give employee reviews, discipline, and appraisals
  • Training/Role Play daily with all employees
  • Complete Reviews: 2 per year (2ndweek in Jan & 2nd week in July)
  • Resolve all parent and employee complaints in office; keep a report to give to Office Manager monthly



  • ReportsDaily: Day Sheet Deposit slips, Suspended Credit report for the current day, PNC/Pinnacle deposit slips for any deposits made for the current day, Future Appointments with Balances Report
  • ReportsWeekly: Procedures Not attached to Insurance, Insurance Claims Not Sent
  • All other financial reports requested by upper management
  • Responsible for achieving all budgeted goals and objectives
  • Petty Cash straight to AR
  • Ensure employees are billing patients correctly
  • Ensure employees are correctly collecting co-pays and balances are collected from patients





  • Minimum three years experience in management position. ASC health care management preferred. Accounting experience preferred.
  • Good command of the English language, both verbal and written.
  • Excellent organizational skills and attention to detail.
  • Ability to work well with physicians, patients, employees and others.
  • Knowledge of medical terminology; computer systems.
  • Ability to spend extended periods of time performing computer work
  • Knowledge of Microsoft Office Suite including Excel and Word.
